Documents Needed to Sell a Car in the UK (2026 Checklist)

February 7, 2026
6 min read

Selling a car in the UK requires a few key documents. Having everything ready before the sale speeds up the process and avoids delays. Here is the complete checklist of what you need, what each document does, and what to do if anything is missing.

Complete Document Checklist

  • V5C registration certificate (logbook) — essential
  • Valid photo ID — driving licence or passport
  • Proof of address — utility bill or bank statement dated within the last three months
  • All vehicle keys — including any spare keys
  • MOT certificate — helpful but not always required
  • Service history — stamped book or digital records
  • Bank details — for receiving payment
  • Finance settlement letter — if the car is on finance

V5C Registration Certificate

The V5C is the most important document when selling a car. It proves you are the registered keeper and contains the vehicle details that both you and the buyer need to complete the transfer of ownership.

The logbook should be in your name. If you bought the car recently and the V5C has not been updated, you may need to provide additional proof of purchase, such as an invoice or receipt from the previous owner.

When selling to a car buying service like us, we handle the DVLA notification. You sign the relevant section of the V5C, and we process the change of keeper on your behalf. You do not need to post anything to the DVLA yourself.

What if you have lost your V5C?

You can apply for a replacement V5C from the DVLA. This costs eleven pounds and can be done online at the DVLA website. The replacement typically arrives within five working days, though it can take longer.

If you need to sell urgently, we can still buy your car without a V5C. Additional identity checks will be needed to verify ownership, and the process may take slightly longer, but it is not a deal-breaker. Get a valuation and let us know the V5C is missing when you speak to us.

MOT Certificate

If your car has a valid MOT, it gives the buyer confidence that the vehicle meets minimum roadworthiness standards. The MOT history is also available online through the DVLA service, so any buyer can check the test record using the registration number.

You do not need a valid MOT to sell a car. We buy vehicles with expired MOTs, failed MOTs, and vehicles that have never been tested. However, if your car has a current MOT with a clean record, it can positively affect the valuation.

Service History

A full service history shows that the car has been maintained properly throughout its life. This increases buyer confidence and typically adds value, particularly for newer vehicles or those with lower mileage.

Service history can be a stamped paper book, digital records held by the dealership or garage, or a combination of both. Independent garage stamps are accepted, not just main dealer records.

If you have no service history, the car can still be sold. The valuation will reflect the lack of documented maintenance, but vehicles without service records change hands every day. Be honest about what records you have when requesting your valuation.

What the Buyer Needs to Do With DVLA

When a car changes hands, the DVLA must be notified so the registered keeper is updated. This is important for you as the seller because it ensures you are no longer liable for road tax, parking fines, or congestion charges linked to the vehicle.

If you are selling to us, we handle the full DVLA process. You sign the V5C, and we complete the notification. You will receive a confirmation letter from the DVLA once the change of keeper is processed, usually within two to four weeks.

If you sell privately, both you and the buyer need to complete sections of the V5C, and you should send the relevant part to the DVLA yourself to confirm the change.

Selling Without All Documents

Ideally, you should have your V5C, ID, and keys ready. But real life is not always that tidy. Here is what happens if specific documents are missing:

  • No V5C: We can still buy, but extra verification is needed. Apply for a replacement if possible.
  • No MOT: Not a problem. We buy vehicles without MOT regularly.
  • No service history: The valuation adjusts accordingly, but we still make offers.
  • Missing spare key: One key is sufficient. A missing spare may slightly reduce the offer on newer vehicles where replacement keys are expensive.
  • No proof of address: A recent bank statement or utility bill is usually easy to obtain. We need this for identity verification.

The more documentation you can provide, the smoother and faster the process. But do not let missing paperwork stop you from getting a valuation. Request your free quote and we will guide you through what is needed.

Frequently Asked Questions

Can I sell a car without a V5C logbook?

Yes, though additional checks are required to verify ownership. If possible, apply for a replacement from the DVLA before selling, as this makes the process faster for everyone.

Do I need to cancel my car tax before selling?

Car tax does not transfer to a new owner. When the DVLA is notified of the change of keeper, your tax is automatically cancelled and you receive a refund for any full remaining months. We handle the DVLA notification as part of our process.

What if the V5C is in someone else’s name?

The V5C should ideally be in the seller’s name. If it is not, you may need a signed letter from the registered keeper authorising the sale, plus your own proof of purchase. Contact us to discuss your specific situation.

Do I need to remove my personal belongings?

Yes. Before collection, check the glovebox, boot, door pockets, and under the seats. We are not responsible for any items left in the vehicle after the sale is completed. Remove any dashcams, phone holders, and personal accessories.
